WE'RE HIRING: Membership Coordinator (Half Time)
Position
Bike East Bay seeks a half-time membership coordinator to maintain relationships with members, bring on new members, coordinate data, and assist with major gifts and foundation fundraising. This position is part of a dynamic team with a strong culture of celebrating success, accountability and mutual support. This position will be half-time to start, and there is potential for it to become full-time in the future.
We have a committed membership base of several thousand people giving at a variety of levels, including more than 400 people who donate monthly. A year ago we transitioned to a CRM (EveryAction) that has robust functionality. Our funding base is broad, including individual contributions, foundations, corporate and government sponsorships, event revenue, and contracts for our education and advocacy programs.
Bike East Bay works in a collaborative, team-based goal-setting and accountability structure. The Membership Coordinator will report to the Development Director and be part of the engagement team.
Primary responsibilities:
Communication with Members and Potential Members (40%)
- Assist with developing strategies, messaging, and materials for membership recruitment and retention alongside Development Director and Communications Manager, including organizing mailings, email appeals, phone banks, and outreach at events.
- Communicate via email and phone with individual members to clarify or update their membership information.
- Organize three phone banking efforts per year with staff and board members.
- Prepare all materials for membership renewal and thank you mailings and, with the Engagement Coordinator, work with volunteers to send mailings.
- Maintain membership forms, collateral, and premiums in collaboration with the Communications Manager and Development Director.
- Help coordinate engagement opportunities and events with members, including annual Member Meeting.
Membership Data Coordination (20%)
- Process membership payments and donations that come in through in person outreach and events.
- With Database Manager, ensure excellent data quality in Bike East Bay’s constituent relationship management (CRM) database, including identifying and expunging duplicates.
- Create customized donor and member reports for tracking and analysis.
- Develop improvements to membership systems to increase ease and efficiency by researching database functions or revising other workflows.
Assistance with Individual and Foundation Fundraising (30%)
- With Development Director, update and maintain gift tracking documents.
- With Development Director, update and maintain foundation pipeline.
- Set up, test, and send email communications to donors through our targeted email platform.
Organization Wide Support (10%)
- Support efforts to build a ladder of engagement for volunteers, supporters, and partners.
- Support Bike East Bay signature events including Bike to Work Day, Session Fest, and Biketopia.
- Other support as needed.
The ideal candidate will have the following qualifications:
- You thrive on developing authentic and mutually beneficial relationships with donors, members, and funders.
- High level of attention to detail and follow-through.
- Highly organized with excellent time-management skills.
- Demonstrated ability to manage projects and meet deadlines within a team environment.
- Professional or volunteer experience in a membership-based non-profit.
- Experience in deploying constituent relationship management (CRM) databases to deepen member and donor engagement (EveryAction a plus).
- Excellent written and verbal communication skills.
- Commitment to social and racial justice and to Bike East Bay’s mission.

Compensation & Benefits
This is a non-exempt, part time position with an average of 20 hours regularly scheduled per week at $31.25-$34.13. Bike East Bay provides a competitive benefits package including 100% employer paid employee health & dental, match of retirement contributions, vacation time, sick time, and holidays. This position will entail work occasional weeknights and weekends in order to attend meetings and events.
This position is based out of our office located in Jack London Square, Oakland, CA, via a combination of remote work, in-office activities, and on-location duties requiring interaction with Bike East Bay staff and members of the public. Expected start date is June 24, 2024.
