WE'RE HIRING: OPERATIONS COORDINATOR
Position
Bike East Bay is looking for a part-time Operations Coordinator to join our team and support the Co-Executive Director of People and Operations in financial management, human resources, operations and general administration.
The ideal candidate will have strong organizational, interpersonal, and communications skills and a high level of attention to detail.
Bike East Bay works in a collaborative, team-based goal-setting and accountability structure. The Operations Coordinator will report to the Co-Executive Director of People and Operations and be part of the operations team.
Primary responsibilities:
Financial Management (40%)
- Prepare invoices and track Accounts Receivable, pay bills, process reimbursement requests
- Support fiscally sponsored projects- reimbursements, bill payments, financial reporting
- Work with Co-Executive Director of People and Operations on monthly financial reporting
Human Resources (20%)
- Manage and process payroll twice a month
- Support employee onboarding and offboarding
- Update employee handbook as needed
- Track and manage staff workplace harassment training compliance
Bike Education Program (30%)
- Process League Certified Instructor (LCI) timecards and driver bonuses as part of payroll process
- Process LCI reimbursement requests
- Support Bike Education Program as needed
General Administration (10%)
- Contract support on certificate of insurance requests and other paperwork
- Grant support on reporting, administration, and invoicing
- Order and manage office supplies
- Support staff calendar updates/changes
- Pick up mail weekly from PO Box

- High level of attention to detail and follow-through
- Proficiency in Microsoft Office Suite, especially Microsoft Excel
- Excellent interpersonal abilities in building relationships and communication with team members and external partners
- Discretion and comfort with confidential information
- Analytical and problem-solving skills
- Basic financial management capabilities, including budget review and expense tracking
- Experience with payroll and timecard management
- Demonstrated ability to work collaboratively on projects and meet deadlines within a team environment
- Commitment to social and racial justice and belief in Bike East Bay’s mission to build bike-friendly cities and a more just and equitable transportation system
Compensation & Benefits
This is a non-exempt, part time position with an average of 20 hours regularly scheduled per week at $31.25-$33.65 per hour. Bike East Bay provides a competitive benefits package including 100% employer paid employee health & dental, match of retirement contributions, vacation time, sick time, and holidays.
This position is based out of our office located in Jack London Square in Oakland, CA, but employees are currently working 3-4 days remotely with occasional work on evenings and weekends (3-5 times per year).
